Need to Read Files

If you have ‘Edit’ or higher permissions to the appropriate Library, Activ allows you to mark any file within your system as Need to Read, helping you to identify business-critical information to all of your users. This may be particularly useful when you use Activ to store key Policies and Procedures, or any other file that you need your employees to be particularly familiar with.

If the ‘Need to Read’ flag has been enabled for a file and a user has not yet viewed the current version, the user will be automatically notified until they have viewed the version. This notification is disabled once the associated file has been viewed, but will automatically be re-enabled should a new version of the file be uploaded. In addition, Activ will send these notifications to any new users you add to your system, ensuring that they are alerted to the file even if its current version was uploaded to your system before their account was validated.

Note that these notifications will come via the user’s regular notifications e-mail, provided they have selected the appropriate options within My Details – Notifications (see File Manager Alerts and Notifications and Notifications – Automated Alerts, Notices, and Reminders) .

To mark a file asNeed to Read’, open the file’s Properties for editing (see Edit a File’s Properties) and change the Need to Read?* dropdown to ‘Yes’, then click Save.

You will be returned to the file’s Properties tab, and the updated flag will now be displayed within its record. In addition, all users who have not viewed the file’s current version will automatically begin to receive email notifications alerting them that they need to download the file.
