Holidays – Overview

Holidays is a function within the Human Resources module that has been designed to help you manage your company’s day-to-day holiday administration. It provides you with a suite of tools that allows you to record planned company-wide closures (e.g. public holidays), define your organisation’s default holiday policy (see Configure Holidays, Lateness, and Absences), and specify your employees’ individual holiday allowances and shift patterns (see Configure an Employee’s Holiday Allowance and Working Week). Once it has been fully configured, the Holidays area allows your users to request time off up to their allotted allowance, and automatically warns them should they attempt to book holiday that would exceed their allowance. All holiday requests are displayed in one global location to allow appropriate members of the HR team to process them quickly and efficiently, and, upon approval, the employee is automatically notified and their holiday displayed within a global Holiday Calendar.

All requested, approved, and rejected/cancelled holidays are recorded within each employee’s individual Holiday Record (see View an Employee’s Holiday Record), and a series of graphs and charts are available to help you analyse holiday data at both an individual and company-wide scale. In addition, Activ provides you with the option to set a Holiday Manager for each employee, enabling you to ensure that their requests are managed by the most appropriate member of your organisation (see Holiday Managers).

The Holidays tab includes five subpages. These are:

Current Year – lists all employees and summarises each individual’s allocated, approved, pending, remaining, and cancelled holiday days for the current year. Click on any person’s name to access their individual Holiday Record and settings.

Pending – lists all holiday requests that are currently pending approval. If you have the appropriate permissions to manage an individual’s requests (i.e. are their Holiday Manager if they have one, or have ‘Edit’ or higher permissions to Human Resources: Holidays if they do not) then you will be able to reject or approve their requests directly from this page.

Calendar – presents a month-by-month overview of holiday requests (regardless of current status) to allow you to quickly review who has booked time off and for when. The calendar includes company-wide (public) holidays and unplanned absences, will be divided by Team if your package includes the Teams module, and provides a PDF feature.

Settings – allows you to set the basic (default) parameters of your company’s holiday policy. This includes: holiday year beginning and end, default number of holiday days available to employees, and maximum number of days that can be carried over from one year to the next.

Public Holidays – use this page to enter each year’s public holidays and company-wide shutdown periods. Note that this must be updated manually each year.
