Activ’s file Review feature allows you to schedule one-off and regular reviews of any file in your system, assisting you in ensuring that your files are regularly checked and kept up to date. File Reviews are recorded separately to file modifications and can be scheduled when a file is created or at any time after it has been uploaded. In addition, Activ automatically maintains a log of all Reviews (see View a File’s Review Log), providing a clear trail of evidence to demonstrate that files have been reviewed at suitable intervals by qualified individuals. You can opt in to receiving alerts, notifications and reminders about your file Reviews via My Details – Notifications (see File Manager Alerts and Notifications).
There are three tabs related to File Reviews. These are:
The Review Log – this tab is located within each file’s individual record and provides an audit trail of all previous Reviews that have been conducted against the file.
Scheduled Reviews– this lists all files that have been marked for review and provides key details about each Review. By default, it displays file Reviews that are scheduled to you, but it can also be used to find any other scheduled Review in your system, and to find Need to Read files (see Searching for ‘Need to Reads’).
Download History– this lists all files that have been downloaded by a specified user. This feature is useful in analysing which files individual users are accessing, and for determining whether they are using the files that they should be using.
