For convenience, the File Manager module includes a set of inbuilt ‘Library Tags’ that have been designed to highlight key information about each file that has been stored in your Libraries. These Tags appear as colour-coded lozenges to the far right of each relevant file, and are automatically applied to relevant files when they meet the corresponding criteria (see below). They are intended to provide you with an at-a-glance indicator of the current state of your Library, and to streamline management by removing the need for you to view each file’s individual Properties to determine its current status.
These Tags cannot be manually added or removed: they are entirely automated to ensure that they are always applied accurately. In addition, the Tags are used throughout all Activ file Libraries, meaning that they apply both to the main Records and Controlled Documents Libraries, and to the Company, Employees, and Confidential Libraires.
Activ includes six Library Tags, as follows:
Locked – displayed against any file that is currently Locked, and that does not have a Live Editing Draft saved against it.
Checked Out – displayed when a file is currently Checked Out, and there is a Live Editing Draft open against it. Automatically replaces the ‘Locked’ tag against relevant files.
New Version – a user-specific Tag that is displayed when you have not downloaded or previewed the latest version of a file.
Need to Read – displayed when a file has been marked as ‘Need to Read’.
Review Scheduled – displayed when a file has been scheduled for Review, and that Review is not overdue.
Review Overdue – displayed when a file has been scheduled for Review, and that Review is overdue. Automatically replaces the ‘Review Scheduled’ Tag against relevant files.
