Appraisals – Overview

When the Human Resources module is enabled within your system, Activ provides you with a series of HR-specific tabs that are designed to help you manage your employee records, statutory HR requirements, and day-to-day HR administration. Amongst these tabs are the Appraisals pages, which provide a self-contained tool to help you manage and semi-automate the administrative aspects of staff Appraisals. This tool allows you to design Appraisal templates using a simple and flexible wizard, enabling you to ensure that your Appraisal structure remains consistent across your organisation, and that updates to that structure are automatically reflected in all new Appraisals.

Once your templates have been created, Activ allows you to schedule Appraisals for employees and add objectives to tailor them to the individual. Appraisals can be completed by the employee themselves (see Employee Permissions: Control a User’s Access to their own Appraisals) or by the individual’s Appraisal Manager (see Appraisal Managers), and Activ will automatically store the results for future reference. In addition, past Appraisals are fully integrated with each employee’ personnel file and can be converted to a PDF at the click of a button, enabling them to be printed and saved outside of Activ.

This user guide covers the Human Resources pages that are involved in managing your employee’s Appraisals. These are:

Appraisals (global tab) – allows you to create a set of custom Appraisal Templates and to schedule Appraisals for your employees. In addition, this tab provides an overview of all past and upcoming Appraisals that are recorded within your system.

Appraisals (employee records) – houses each employee’s past and upcoming Appraisals. Users can view and complete their own Appraisals from this area (see Employee Permissions: Control a User’s Access to their own Appraisals).

Settings – allows you to configure your system’s Appraisal rating types (see Configure Appraisals).

The Appraisals tab includes three subpages. These are:

By Employee – lists all employees and key statistics summarising each individual’s Appraisal history within Activ. Click on a person’s name to access their past Appraisals, fill in an Appraisal, or schedule a new Appraisal.

Search – use this to view all Appraisals that have been recorded within your system, and to search for any Appraisals that match your chosen search criteria.

Templates – use this to manage and design your system’s Appraisal templates. Activ allows you to design new templates from scratch or use the ‘Based On’ feature to clone an existing template that can then be edited to suit your needs. In both cases, Activ allows you to fully customise each Appraisal’s sections and questions, offers four different answer types (free text, list, rating, yes/no), and lets you specify whether questions require responses from the Appraisal Manager, Appraisee, or both.
