View the File Manager’s Download History

To assist you in monitoring access to your files, Activ automatically keeps track of who downloads your File Manager documents and when they have last accessed each file. This information can be viewed directly from any individual file’s record (see View a File’s Download History), or from the Download History tab.

The Download History tab is available to anyone who has ‘Edit’ or higher permissions to either the Controlled Documents or Records Library, and provides you with a complete list of all files that have been downloaded from the Libraries that you have access to. This includes the Company Files, Employee, and Confidential Libraries, but excludes any files in Private folders or libraries you do not have access to. This feature allows you identify:

  • Precisely which files have been downloaded from your system since its creation.
  • Which versions of each file have been downloaded from your system.
  • Which files each user in your system has downloaded since gaining access to any part of your File Manager.

To view your File Manager’s download history, open the File Manager and click on the Download History tab. This will open a register of the files that have been downloaded from any Library that you have ‘Read’ or higher permissions to.

Each record includes a log of the version that was downloaded, who downloaded it, and the date and time that they last downloaded it. In addition, Activ allows you to shortcut directly to each file’s Properties by clicking on its Name.

By default, the register will display a list of all files that have been downloaded by you. However, you can also choose to view the downloads of all users, or any other individual user, by changing the selection within the User Name dropdown at the top of the screen.
