View a File’s Contents

If you are using Activ as your main document repository, then it is likely that you or your users will need to view the contents of the files that have been stored within your system – for example to familiarise yourself with their contents, formally review them, or update them. To support this, Activ provides three methods for viewing files:

  • Preview – ideal when you wish to view a file’s contents, but do not expect to make any changes;
  • *Live Edit – ideal when you wish to view a Microsoft Office File’s contents, and may (or will) need to make changes; and
  • Download – ideal when you wish to modify a non-Microsoft Office file’s contents, backup the file in an alternate location, or when a file type cannot be Previewed.

The precise method that ‘should’ be used will largely depend upon your current needs (i.e. whether you need to view or edit the file) and your personal preferences. You can find detailed guidance on each method by following the links displayed above.

 

*Note that the Live Editing option will only be available if you have Edit or higher access to the file, the file is not Locked or Checked Out by another user, and Live Editing is enabled for your system.
