Trial Modules

Activ provides you with the facility to trial any module to determine whether its features would be a good fit for your business. In most cases, these trial modules can be added directly to your current (live) system to enable you to see precisely how they would work with your existing package, and to allow all relevant users within your system to get involved with the trial. This enables you and your users to gain complete confidence in the suitability of the module before it becomes a billable part of your system. Currently, the only module that is not available for trial within existing systems is Teams. This module must be trialled within a separate temporary system, as the changes made using Teams cannot be readily reversed.

Trial modules must be requested via the Sales Team, your Activ Reseller, or your consultant. Once the details of your trial have been confirmed, the new module will be enabled within your system for the agreed period and will immediately become available within your main navigation menu. The trial module will behave as would the full, billable module (with some limitations: e.g. capped audits), and will remain accessible until your agreed trial period ends.

Once a trial module has been added to your system, any user with ‘Admin’ permissions to the System Administration area (i.e. System Administrators) will have the option to:

Accept the Module or Cancel the Trial After the Trial Period

Once a trial expires the module you are trialling will automatically lock and prevent you from continuing to access its content. However, it will continue to display on your main navigation menu until you have chosen to accept the module as a full billable part of the system, or cancel the module and remove it from your system. Should you decide to cancel the trial, the module will be removed from your main navigation menu and you will not be able to regain access unless you request the module again at a later date. If you accept it, the module and all of the data you entered into it will be unlocked, and all trial limitations lifted, allowing you to continue using it as you would any other module. In addition, an email notification will be sent to your system’s Primary Contact (see Set Your System’s Primary Contact), your billing information will automatically update to reflect the change, and the new module will be included on your next invoice.

To accept the module or cancel your trial, click on the module’s item within the main navigation menu.

Activ will open a notice that informs you that your trial period has expired, and the date on which it ended. In addition, if you are a System Administrator you will be presented with the monthly and annual cost of the module, the minimum contractual period for the module, and the option to activate or cancel the module. Click on Activate Module to unlock (purchase) the module, or Cancel My Trial to remove the module.

Note that the module pricing details and Cancel/Activate buttons will not be available if you are not a System Administrator.

If you choose to cancel the trial, the module will automatically be removed from your main navigation menu, and you will lose access to the data that you entered into it whilst the trial was active. However, you will still be able to purchase the module at a later date should your organisation’s needs change.

If you wish to defer your decision to a later date (or are not a System Administrator), click on the Back button. This will return you to the previous page, leaving the trial module in its current (locked) state. The module will not be unlocked or removed from your system until such time as a System Administrator activates or cancels the module from the Acceptance screen.

Accept the Module or Cancel the Trial During the Trial Period

Activ provides you with the option to accept or cancel trial modules at any point during the trial period, allowing you to end the trial early. Should you choose to accept the module, all trial limitations will be removed from your system, and the module will be permanently unlocked for your use. In addition, an email notification will be sent to your system’s Primary Contact (see Set Your System’s Primary Contact), your billing information will automatically update to reflect the change, and the new module will be included on your next invoice. In contrast, should you decide to cancel your trial, the module will automatically be removed from your system along with any data that you have entered into it. It will no longer display on your main navigation menu and you will not incur any charges, but you will still be able to purchase the module at a later date should your organisation’s needs change.

To accept the module or cancel a trial before it expires, select the module’s item from your main navigation window.

This will open the module on its default tab. If you are a System Administrator, a message will be displayed at the top of the page to warn you that the module is being trialled, and to inform you of when the trial officially expires. Click on the More Details button to the right of this message.

In addition, you will be presented with the monthly and annual cost of the module, the minimum contractual period for the module, and the option to activate or cancel the module. Click on Activate Module to accept (purchase) the module, or Cancel My Trial to remove the module.
