Policy Assistant – Overview

Regardless of the industry you operate in, or the type of activities you undertake, your company will have a need for a variety of supporting Policies. These may be ‘universal’ Policies, such as documentation covering discipline or absences, or more specific Policies covering key aspects of your industry (e.g. working at height, within the construction industry) or workflows specific to your particular company (e.g. maintenance Policies for specialised machinery). In both cases, it can be a challenging process to determine what your Policies should contain or how to effectively structure the information within them – particularly if you need to consider regulations, certifications, and/or industry best-practices in addition to your own company’s structure and core values.

Activ’s Policy Assistant is a tool that has been designed to assist you with these challenges, and to simplify the process of creating your initial Policies. The module enables you to enter short context notes such as your industry, the type of Policy you wish to create, and any requirements it must meet (etc), and then submits this information to a pre-screened AI engine to generate:

  • a Policy Outline that is pre-structured into the relevant Sections, and briefly summarises what each Section should contain; and
  • suggested content for each Section, including appropriate formatting (sub-headings, lists, etc), regulations that are likely to be relevant to your industry, requirements from any specified ISO Standards, and appropriate job roles for any specified actions/responsibilities.

Activ provides you with the option to generate an Outline and nothing further, or to generate content for some or all of the Sections, and then to Export your data directly to a Word document for further editing. This enables you to seamlessly produce an initial AI framework, and then edit that framework to produce your final Policy.

 

Note that the Policy Assistant uses an industry-leading AI engine, and that the Activ Team regularly reviews available engines to ensure that the module is using the best possible option. The Activ Team has also reviewed the engine for accuracy to ensure that the information it produces aligns with our understanding of Policy, business, and ISO (etc) requirements. However, it is important to remember that AI cannot truly understand the full context of your organisation or real-world businesses: it can only generate information based on the context fed to it, and the engine learning available to it. As such, all Polices generated by this tool should be reviewed by a member of your Top Management before being approved for use.
