Activ provides you with the option to convert your Incident Log register into a PDF file that can be saved and printed outside of the Activ system. When this option is used, Activ will generate a single PDF file that will contain all of the Incident Logs that are currently displayed within your register, and will include the full record for each Incident Log (i.e. all witnesses, photos, etc). In addition, the included Incident Logs will be determined by your current register filters, meaning that:
- a PDF of the default register will include all Incident Logs that are visible to you (this will be all Incident Logs within your system, for non-Teams systems, or all Incident Logs within visible Teams, for those systems that include the Teams module); and
- a PDF of a filtered register will only include the Incident Logs that match your specified filter criteria. For example, if you have filtered your Register by ‘Minor’ Incidents, the PDF will contain any Incident Log that has been given the ‘Minor’ Severity level, and exclude all other Incident Logs.
This provides you with an efficient way of creating customised reports of your Incidents, or of backing up your existing Incident Log data should you need to save a copy of your data elsewhere.
Note that the properties of these PDFs can be managed using the Branding tab within the System Administration module (see Branding – Your Company Logo and PDF Headers and Footers).
*****
To generate a PDF of your register’s Incident Logs, open the Incident Log module on its Register tab and click on the PDF button displayed at the bottom of the page.
The PDF button’s behaviour may vary slightly depending on your web browser and its settings. In some cases, you may get a popup window or new tab that previews the PDF and from which you can save or print the file, whilst in others the PDF may automatically download to your default downloads location.
Note that the PDF function will only work correctly if the computer you are using has access to PDF software that is compatible with your web browser. If your computer does not have appropriate PDF software, you web browser will not be able to download the file.
