My Details – Overview

My Details is a core module that allows you to access and manage information, records, and settings relating to you within Activ. In most systems it will consist of two tabs allowing you to view your basic personal details (Login Permissions tab), login details (Login Permissions tab), permission settings (Login Permissions tab), and notifications preferences (Notifications tab). However, additional tabs will be available if your Activ package includes the Human Resources module and you have appropriate permissions within the My Details permissions area. These additional tabs provide you with the ability to view some areas of your personnel file, and to manage aspects such as your training record and holiday requests (if appropriate permissions are granted).

When Human Resources is not enabled within your system, My Details will include up to two tabs. These are:

Login Permissions – displays your basic details (e.g. name, contact details, username, etc), Login Details, and system permissions. See View your System Permissions and Basic Details.

Notifications – use this tab to manage the automated alerts and reminders that Activ sends to you. Some organisations choose to lock this feature, meaning that only system administrators will be able to make changes to your Notifications preferences. If the Human Resources module is enabled in your system, up to eight additional tabs will be available (depending on your system permissions for the My Details area; see Control Employee Access to their Personnel File – System Permissions for My Details). These are:

Personnel Record – contains your personal and employment details, including your basic job details (e.g. title, start date, salary, etc), address, and emergency contacts. Depending upon your system permissions, you may have the option to edit some of these details yourself.

Holidays – use this tab to manage your holiday requests and view your annual holiday allowance settings.

Absences – view your recorded absences here.

Lateness – view any instances of recorded lateness here.

Training – view your personal training record here, including booked training and the expiry date of any credentials. Depending upon your system permissions, you may have the option to edit your own training records.

Appraisals – your upcoming and previous appraisals are housed on this tab. Click on any individual appraisal in the Template column to open it. See the Human Resources: Appraisals User Guide for more information.

HR Notes – view any recorded Human Resource management-related events (notes) that have been recorded against your personnel file. These may include (e.g.) record of a new employment contract, or notice of a new rate of pay. Click on any individual event to open a new screen displaying the full record of the event, including any linked items or attached files

Employee Library – view any documents or other files relating to your employment (e.g. training certificates or a copy of your contract). Depending upon your system permissions, you may have the option to manage your own Library.
