Improvement Log – Overview

The Improvement Log module of Activ provides a workflow to create and manage a database of learning opportunities arising from all potential sources, including employee ideas, complaints/feedback from customers and other third parties, audits and near misses.  After recording the details of an issue, assign responsibility and maintain a comprehensive log of the corrective or preventive actions, manage the actions arising and, optionally, formally assess the effectiveness of action taken.  Automated reports and graphs enable you to monitor and analyse the overall picture to help you focus resources more effectively.

The Improvement Log module has six tabs:

Dashboard – this page summaries the number of Improvement Logs that are Open or Awaiting Effectiveness Assessment, providing you with an overview of your workload. It records Improvement Logs against three key areas (all in the system, those assigned to you, those created by you) and provides shortcuts to filtered views of the Improvement Log Register to assist you in identifying the most relevant items. Register tab – all Improvement Logs are listed here.  Click on any individual Improvement Log to open and view its details.  By default, Improvement Logs are shown in order of their unique code identifier.  Fields at the top of the tab give the option to filter Improvement Logs according to several criteria.  See Search, Filter and Sort Improvement Logs.

Linked Tasks tab – you can create and assign tasks directly from within any Improvement Log.  The Linked Tasks tab is a register of all such linked tasks, providing oversight of associated actions and a gateway for managing them.

Reports tab – this tab allows you to generate reports, for a selected date range, on the number of Improvement Logs matching several different criteria: type, area, area & type, person, priority, company and status.  You can generate a PDF version of your report and export the data to Excel/.csv.  See Analysing Improvement Logs – Reports and Graphs.

Graphs tab – this tab allows you to view reports on Improvement Logs in graph format for a selected date range, by type, area, person, priority and status.  You can export the data to Excel/.csv.  See Analysing Improvement Logs – Reports and Graphs.

Settings tab – this tab allows you to configure the options available in drop-down menus in your Improvement Log forms so that the Improvement Log module meets the exact needs of your organisation.  See Improvement Log Settings.  Optionally, you can also set permission levels to regulate who can carry out specific actions within Improvement Log, ensuring that you have full control over your processes.  See User Permissions for Improvement Log 2 – Action-Specific Permissions.

Clicking on an individual Improvement Log on the main Register tab opens the Improvement Log.  The complete record of an individual Improvement Log is housed on up to four tabs.

Details tab – this tab records all the information relevant to the issue that has been input by the person raising the matter and the person(s) actioned.  From here you can also create and assign associated tasks and manage the Improvement Log’s progress.  See Improvement Log Fields Explained, Add a New Improvement Log and Edit / Update an Improvement Log.

Links tab – if the Improvement Log has any files appended to it or is linked to any items within or outside Activ, these are all housed here.  Appended and linked items can be accessed directly from this tab with one click.  See Attach or Link Files to an Improvement Log and Link an Improvement Log to External Resources.

History tab – houses the complete record of changes made to any individual Improvement Log, providing you with a detailed audit trail for each Improvement Log. This tab includes two subpages: Versions, which stores full copies of each version of the Improvement Log, and Timeline, which records previous effectiveness assessments and all changes made to any field within the Improvement Log. Access Rights tab – (only present if the Improvement Log is private).  The access rights given to specified individuals to a private Improvement Log are managed here.  See Restrict Access to an Improvement Log – Private Improvement Logs.
