Download (and use) a Module’s Import Template

Ideally, any data that you import into your system should be collated using one of Activ’s dedicated Import Templates. These are CSV files that can be downloaded from your system, and that have been configured to contain all of the fields that are relevant to the module that you will be importing the data into. Using these templates will ensure that your data is collated in a format that is compatible with your system, will help you to avoid including data that cannot be imported (or skipping fields that are required), and will minimise the number of failures that occur during the import process.

Each Import Template is module-specific, and will contain only the fields that are relevant to that module. In addition, the templates have been curated to ensure that they only contain fields that it is possible to import data into. This means that some fields from your Activ system may be absent from a module’s template, as those fields will not accept imported data. These fields will typically be those that are coded with complex logic such as auto-calculations (e.g. the Significance Levels within the Business Risk Manager). You should not add additional columns to your import template, as doing so is likely to create issues when you attempt to import the data. You should also avoid modifying existing column headings wherever possible, as Activ has been configured to recognise the template’s column names and automatically map them to the relevant fields within your system.

When saving your collated data, you must ensure that the file is saved as a CSV or other delimited file format. Activ’s import function will not accept data that is saved in any other format.

To download a module’s import template, open the appropriate module on its Import tab. This will open a register of all imports that have previously been completed within that module. Click on the View Import File Format button at the bottom of the screen.

The module’s CSV template will automatically download to your computer.

Note that download behaviour is controlled by your browser settings. If the CSV file does not download as expected, we recommend that you check your browser settings to ensure that they are properly configured.
