To delete a file, open the File Manager module and navigate to the appropriate Library (e.g. Records). All files within the Library will be organised alphanumerically, with those prefixed by a number displayed first.
Locate the appropriate file in the file structure, and then click on the red cross to the right of the file name:
A pop-up message will appear asking you to confirm whether you wish to delete the file. Click Ok to confirm the action.
Activ will check for any record that are linked to the file, and will then either:
- remove the file from your library, if it is not linked to any other areas of your system; or
- redirect you to a dedicated Link Detection screen, if the file is linked to other records.
If the file you are trying to delete is linked to other records within your system, then Activ will present you with a list of the relevant links and prompt you to confirm whether you wish to proceed with the action (breaking all links and deleting the file), or cancel the action. Review the list of links displayed to determine whether you are happy for the links to be broken, and then click I Understand – Delete Anyway or Return to Library (i.e. ‘cancel) as appropriate.
If you choose to proceed with the deletion, then all links will be broken and and the file will be removed from the Library.
Note that all deleted files are sent to Activ’s Recycle Bin, where they will be held for a period of 30 days. These files can be viewed, restored, or permanently deleted whilst they remain in the Recycle Bin, but will be permanently erased from your system after the holding period ends. This deletion is automatic, and cannot be undone. See Managing the Recycle Bin for more information about this feature.
