Audit Templates – Overview

Audit Manager is supplied with a suite of ready-made audit templates.  You can

  • use Activ’s templates as supplied; and/or
  • take Activ’s templates as a starting point and adjust them to suit your organisation; and/or
  • create your own templates from scratch.

There are two formats of template: Simple and Advanced.  The design process for both formats of template is identical.  The difference between them is the amount of detail that can be entered in response to questions when the template is used to conduct an audit:

A Simple audit template is a “checklist form” style.  For each question, a response (finding) is selected from a drop-down menu.  There is a notes box alongside each question to allow supplementary free text comments to be entered if required.  Improvement Logs and photos can be recorded at the audit level, but not at individual question level.

An Advanced audit format allows for more detailed responses.  For each question, a response (finding) is selected from a drop-down menu.  A notes box allows for more detailed free text comments to be entered, along with the facility to link or attach evidence, including photos, to each question.  Improvement Logs can be recorded against individual questions.

Audit templates are created and managed on the Templates tab of Audit Manager.  See Create a New Audit Template and Edit / Modify an Audit Template.

It is recommended that you use Activ’s system permissions to limit access to the Templates tab to only one, or a small number of, system administrator(s).  See Controlling Access to the Audit Template Design and Management Feature – System Permissions.

Details – displays the template’s basic properties in the upper portion of the page.  Below, the template’s sections and questions are listed.  See View an Audit Template.

Criteria – any Criteria that have been referenced to audit against in particular questions in the template are summarised here, so that you can conveniently view them in one consolidated list.  See View All the Criteria Associated with an Audit Template.

Change Log – this tab houses the complete record of the instances when changes have been made to an audit template.  See View an Audit Template’s Change Log.
