Asset Manager – Overview

Activ’s Asset Manager module provides tools for logging and tracking your organisation’s Assets and Stock, and for managing the maintenance Jobs related to your organisation’s Assets. The module can be split into three distinct elements: Asset Management, Stock Control, and Job Management. Each element is equipped with its own registers and settings within the module, helping you to keep your Assets, Stock, and Jobs organised. Depending on your organisation’s needs, it is possible to use the Asset Manager in any of four ways:

  • As a means of managing your organisation’s Assets, including tracking both their owner and location.
  • As a means of managing the maintenance Jobs related to your organisation’s Assets, and of creating repeating schedules for your organisation’s maintenance Jobs.
  • As a means of managing your organisation’s Stock, including tracking where Stock is stored, the quantities of Stock stored at each location, and the re-order details of individual Stock items.
  • As a single interconnected unit that includes the above uses, that allows your organisation to record Stock items as Components of Assets and as Parts used in the course of maintenance Jobs, and that automatically adjusts your Stock quantities when they are used in Jobs.

If your organisation has the Customers and Suppliers module, the Asset Manager additionally provides tools allowing you to link specific Suppliers to individual Assets and Stock items, and specific Contractors to Jobs and Job Schedules. Similarly, if your organisation has the Improvement Logs module, the Asset Manager allows you to raise and manage Improvement Logs that are directly related to your Assets and maintenance Jobs.

The Asset Manager module has five tabs:

Jobs – records the maintenance Jobs and repeating Job Schedules that are used to manage your organisation’s Assets.

Stock Control allows you to create a catalogue of the Stock items that your organisation uses within Jobs/Assets, to manage the Stock Locations that are used to store this Stock, and to record the quantity of each item that is held at each Location.

Assets records your organisation’s Assets, the Areas and Sites that those Assets may be kept in, and the basic details of the Engineers that are responsible for maintaining your Assets (if you are using the Jobs feature).

Reports generates reports on your organisation’s Stock Valuation, Stock Usage, and Jobs.

Settings allows you to configure the options available in dropdown menus and checklists within the Asset Manager, enabling you to ensure that the module meets the exact needs of your organisation. See the Settings articles within the appropriate area’s guide for more information.
