Asset Manager – Jobs Overview

The Jobs tab is an element of the Asset Manager module that allows you to create maintenance Jobs against specific Assets, manage repeating Job Schedules for those Assets, raise and manage Improvement Logs based on Jobs, and assign resources such as Engineers to individual Jobs.

If your organisation is using the module’s Stock Catalogue, this element also allows Stock items to be logged against Jobs as Parts Used, assisting you in tracking your current inventory, and allows Jobs to be created for Asset Components. In addition, if you have the Customers and Suppliers module, the Asset Manager provides the facility to assign Contractors to Jobs in place of Engineers, and if you have the Improvement Logs module, the Asset Manager allows you to raise Improvement Logs that are directly associated to your maintenance Jobs.

This user guide covers the Asset Manager tabs that are related to Job Management. These are:

Jobs – records the maintenance Jobs and repeating Job Schedules that are used to manage your organisation’s Assets.

Settings allows you to configure the options available in dropdown menus and checklists within the Asset Manager, enabling you to ensure that the module meets the exact needs of your organisation (see Configure Jobs).

Note that one option relevant to this element (Engineers) is housed within the Assets tab. However, this element will be covered in full within this guide.

The Jobs tab has three options:

All Jobs – all of your Asset Manager’s Jobs are listed here. By default only live (i.e. open) Jobs will be displayed, but you can use the filters at the top of the screen to view all other Jobs within your system.

Unallocated Jobs – all live (i.e. open) unallocated Jobs are listed here until an Engineer is assigned to them.

Schedules – All Job schedules are listed here. By default only live schedules are displayed, but the fields at the top of the page provide you with the option to filter/search using a variety of additional criteria.

Clicking on a Job or Schedule within any of the three registers opens the individual Job or Schedule. The complete record of an individual Job is housed on four tabs.

Details contains all the specific information relevant to the Job, including any permits, skills, or Stock required for the Job.

Completion Notes if a Job is part of a Schedule and has been completed in the past, this tab will house completion notes from previous instances of the Job.

Improvement Logs houses all Improvement Logs that have been linked to the Job.

Documents houses all files that have been linked to document or support the Job.

 

The complete record of an individual Job Schedule is housed on three tabs.

Details contains all the specific information relevant to the Job Schedule.

Jobs lists the Jobs that have been created by the schedule.

Documents houses all files that have been linked to support the schedule and its individual Jobs.
