Asset Manager – Assets Overview

The Assets tab is an element of the Asset Manager module that allows you to catalogue and track your organisation’s Assets. It enables you to list individual Assets against specific Sites and Areas within those sites, and to record key information such as the Asset’s serial/model number and current owner.

If your organisation is using the Jobs and/or Stock Control elements of the Asset Manager, the module enables you to schedule one-off and repeated maintenance Jobs against specific Assets, and to record Stock items against Assets as Components. In addition, if your organisation has the Customers and Suppliers module, the Asset Manager provides the facility to record Suppliers against Assets.

This user guide covers the Asset Manager tabs that are related to Asset Management. These are:

Assets records your organisation’s Assets, the Areas and Sites that those Assets may be kept in, and the basic details of the Engineers that are responsible for maintaining your Assets (if you are using the Jobs feature).

Settings allows you to configure the options available in dropdown menus and checklists within the Asset Manager, enabling you to ensure that the module meets the exact needs of your organisation (see Configure Assets)

Note that the Assets tab includes one option (Engineers) that is only relevant if you are using the Jobs element of the module. This option is covered within the Asset Manager – Jobs User Guide and is excluded from this guide.

The Assets tab has four options:

Assets – all Assets currently held by your organisation are listed here.

Areas – your organisation’s Areas are listed here. Areas are spaces within a site (e.g. specific offices or units) that contain your Assets, and must be associated with an existing site.

Sites – your organisation’s sites are listed here. Note that the Asset Manager’s sites list is separate to the sites lists used by the rest of your system.

Engineers – your organisation’s Engineers are listed here. Engineers are the individuals that are assigned to complete maintenance Jobs, and are a required component if you are using the Jobs element of the module. See the Asset Manager: Jobs User Guide for more information.

Clicking on an individual Asset, Area, Site, or Engineer within any of the four registers opens the individual Asset, Area, Site, or Engineer.

The complete record of an individual Asset is housed on five tabs.

Details houses the specific information relevant to the individual Asset, including a log of any Jobs associated with that Asset.

Components houses a register of the Components associated with the Asset. Note that this feature can only be used if your organisation is also using the module’s Stock Control element.

Asset Management provides records of any Job schedules and planned or completed Jobs associated with the Asset. Note that this is only relevant if your organisation is using the module’s Jobs element.

Improvement Logs houses all Improvement Logs that have been linked to Jobs that are associated with the Asset. Note that this is only relevant if your organisation is using the module’s Jobs element.

Documents houses any documents that are associated with the Asset (e.g. user manuals).

 

The complete record of an individual Area is housed on two tabs.

Details houses the specific information relevant to an individual Area, including a log of any Assets associated with the Area.

Schedules houses a register of the Job Schedules associated with the Assets that are assigned to the Area. Note that this is only relevant if your organisation is using the module’s Jobs element.

 

The complete record of an individual Site is housed on three tabs.

Details houses the specific information relevant to the individual Site, including a log of any Areas associated with the Site.

Assets houses a register of the Assets associated with the Site.

Schedules houses a register of the Job Schedules associated with the Assets that are assigned to the Site. Note that this is only relevant if your organisation is using the module’s Jobs element.
