Asset Manager – Stock Control Overview

The Stock Control tab is an element of the Asset Manager module that allows you to catalogue the products you maintain as Stock, log the storage locations of your Stock, and track the inventory of your Stock within each location. It includes tools to allow your organisation to transfer all or some of your Stock logs from one location to another with the minimum of fuss, flag Stock for reordering upon falling below a specified threshold, and define a reorder quantity for each Stock item.

If your organisation is using the Assets and/or Jobs elements of the Asset Manager, the module allows you to log Stock items against Assets as Components, and against Jobs and Job Schedules as Parts. In addition, if your organisation has the Customers and Suppliers module, the Asset Manager provides the facility to list Suppliers against any Stock item recorded within your Stock Catalogue.

This user guide covers the Asset Manager tabs that are related to Stock Control. These are:

Stock Control allows you to create a catalogue of the Stock items that your organisation uses within Jobs/Assets, to manage the Stock Locations that are used to store this Stock, and to record the quantity of each item that is held at each Location.

Reports generates reports on your organisation’s Stock Valuation, Stock Usage, and Jobs.

Settings allows you to configure the options available in dropdown menus and checklists within the Asset Manager, enabling you to ensure that the module meets the exact needs of your organisation (see Configure Stock Control).

The Stock Control tab has three options:

Stock List – all Stock that is currently held by your organisation is listed here against its location.

Stock Catalogue – lists all items (products) that your organisation maintains as Stock, and provides a global record for each product that can be used to record its key details (e.g. cost, product code, supplier, etc). Items must be recorded within the Catalogue before Stock can be listed against them in the Stock List.

Stock Locations – all Stock storage locations are listed here.

Clicking on an individual Stock item or Location within any of the three registers opens the individual Stock item or Location. In all cases, the complete record of an individual listing is housed on one tab: the Details tab. This tab contains all of the information relevant to the individual listing, including:

  • An Update Log for items (Stock List);
  • A summary of all Locations at which related Stock items are currently stored (Stock Catalogue);
  • A summary of all Stock items that are currently stored within the Location (Stock Locations).
