Delete a Folder or Subfolder

To delete a folder or subfolder, open the File Manager module and navigate to the appropriate Library (e.g. Records). All folders within the Library will be organised alphanumerically, with those prefixed by a number displayed first.

Find the folder you wish to delete, and then click on the red cross icon displayed to the right of its record.

A pop-up message will appear asking you to confirm whether you wish to delete the folder. Click Ok to confirm the action.

Activ will check for any records that are linked to the folder, its subfolders, and its files, and will then either:

  • remove the folder from your Library, along with all files and subfolders it contains; or
  • redirect you to a dedicated Link Detection screen, which will list:
    • all records that are directly linked to the folder you are trying to delete;
    • any subfolders within the folder that have their own links to other records, and the number of links each subfolders has; and
    • any files within the folder that have their own links to other records, and the number of links each file has.

If any records within your system are linked to any of the folder’s contents, Activ will advise you that you cannot delete the folder at this time. To continue with the action, you will first need TO individually delete those items or break the links between them and the other areas of your system.

If the folder you are trying to delete is linked to other content, but its files/subfolders are not, then Activ will prompt you to confirm whether you wish to proceed with the action (breaking all links and deleting the folder and its contents), or cancel the action. Review the list of links displayed to determine whether you are happy for the links to be broken, and then click I Understand – Delete Folder Anyway or Return to Library (i.e. ‘cancel’) as appropriate.

If you choose to proceed with the deletion, then all links will be broken and the folder will be removed from your Library, along with all files and subfolders it contains.

Note that the deletion of folders cannot be undone. Once this is accepted, the folder, all of its subfolders, and any links to the folder will be permanently removed from your system. In addition, any files the folder or its subfolders contained will be sent to Activ’s Recycle Bin, where they will be held for a period of 30 days (see Managing the Recycle Bin).
