Complete an ISO Checklist

ISO Tasks will remain visible within your ISO Certification Manager module for as long as the associated Checklist remains active, enabling you to easily review your progress through each ISO Checklist. In addition, individual Checklists will remain live even after all associated Audit dates have been confirmed and passed, and all ISO Tasks completed. This feature is in place to provide you with time to review and PDF your ISO Tasks after the Audit dates have passed, or to move the Audit’s date into the future should it need to be postponed.

You should mark an ISO Checklist as complete once your company has passed the corresponding Audit and you are ready to begin preparing for the next one. This will remove the Checklist’s associated ISO Tasks from your ISO Certification Manager and generate a new Checklist containing new ISO Tasks. These ISO Tasks will be the most up-to-date versions that are currently available to the Activ system, meaning that new Checklists will always contain the most relevant information.

To close a Checklist and begin the next one, locate the relevant Checklist’s tile and click on the Mark as Complete button that is displayed against it.

You will be prompted to confirm whether you are certain that you want to close the current Checklist and begin the next. Click on OK.

You will be taken to the Confirm Completion page, which summarises the previous Checklist’s type and associated Standards. These fields are filled automatically based on the details of the previous Checklist, and cannot be changed. However, two editable fields are available:

  • Manager – provides you with the opportunity to select a Manager for the new Checklist. Note that only System Administrators can be Checklist Managers.
  • Next Audit Date – enables you to enter the expected date for the Audit that is associated with the new Checklist (i.e. you next Audit date).

By default, Activ will select a Next Audit Date that is twelve months on from your previous Checklist’s date, as new Audits for each Standard will typically occur once every twelve months. In addition, Date Is* will default to ‘Provisional’, and Manager* will default to the previous Checklist’s Manager.

Click on Save to finalise your changes.

Activ will automatically generate your new ISO Checklist, and will return you to the ISO Certification Manager’s Month view. The previous Checklist’s tile will have been updated to display the new Checklist’s details, and its associated ISO Tasks will be displayed within the plan panel and your Tasks register. In addition, the previous Checklist’s ISO Tasks will have been removed from the ISO Certification Manager, but can still be viewed from the Tasks module if necessary.
